INTRODUCTION AND OBJECTIVES
This is a Standard Operating Policy for Open Air Hub CC. The Aim of OAH is to operate an online platform from which consumers will have access to different every day and specialized services for their convenience. The objective of the company’s activities is to contribute to the ever changing \ demands as the Forth Industrial Revolution intensifies. This policy is intended to serve as a guideline on Standard operating procedures to clients and consultants. We believe in transparency and want our clients and stakeholders to understand how we will work and what will be expected from them.
DEFINITIONS & ABBREVIATIONS
The following definitions and abbreviations shall apply in this policy, unless stated otherwise: OAH- Open air hub ‘The company’- Still referring to Open air hub Consultant/Expert- A service provider that will be rendering their consultative services on the OAH platform for a fee Client- An individual that requires the services of a Consultant/expert on the OAH platform.
KEY OPERATING PRINCIPLES
The company will operate a website and device application that will:
- a. Provide a platform for services providers across all sectors to advertise and sell their services.
- b. Allow the services providers the avenue to take bookings and do consultations via the online platform.
- c. Allow potential consumers to engage and interact with providers of the services they may be seeking and to get those services provided largely from the comfort of their own space.
- d. Operate within the prescription of various industry laws and regulations of the Republic of South Africa.
- e. For ethical purposes ensure that the services provided on the platform are of a commendable standard.
- f. Find a good balance between profit margins and customer satisfaction.
- g. Over the long term will develop a plan to expand into other markets and sectors.
1. A GUIDELINE FOR CLIENTS
1.1 Clients must register their profiles on the company website before being granted access to book sessions. They will also have to provide a clear ID copy, phone number, proof of address and ensure their profile has a clear colour profile picture on it;
1.2Clients will further have to purchase tokens on the website in order to be eligible for a session with an expert of the field they require assistance with. They will find out how many tokens they need for the specific consultation and then purchase tokens;
1.3 Once tokens have been purchased; they will have to write a consultation proposal summary, in order for the expert to accept the booking;
1.4 Token bundles will vary and clients will have options to choose from 5 different bundles, depending on what the experts charge;
1.5 Tokens do not expire. The remaining tokens can be carried over or topped up for consultation with a different expert, should they not be used up after the session;
1.6 Tokens must be sufficient because different consultants’ charge different;
1.7 Tokens can be purchased using gateway payment, eft or a credit card
1.8 Clients must rate the consultant after the consultation, in order for the company to measure the quality of service provided by the consultant. Should they however choose not to rate, we will not force or hold it against them.
1.9 Clients will be charged a minimum of 2 tokens by the company, excluding the ones they will be charged for consultation; for having been connected to the expert they wish to consult with by the company
2. WHAT IS EXPECTED FROM EXPERTS (CONSULTANTS)
2.1 Consultants must register on the website in order for them to become independent contractors for OAH. They must provide a clear copy of their ID, proof of residence, copies of qualifications and licenses to practise in terms of South African laws.
2.2 Consultants will be expected to pay the company a total of 20% from their earnings per consultation. The 20% will be calculated as follows: 13% consultation commission to the company, 5% will be paid to the Head of Department under which they operate and 2% will be directed to the CEO.
2.3 Consultants will also have to pay a subscription fee of R350 (THREE HUNDRED AND FIFTY RAND) which will be renewed every 6 (SIX) months from date of joining the company.
2.4 Payments for consultations will be made directly to the bank accounts of the company; the consultants shall however be paid or allowed to “withdraw” their share every fortnight.
2.5 Consultants must read consultation proposal summaries and - accept same on the website in order for a booking to be made
2.6 Only professional, ethical and customer centric approaches will be tolerated from consultants when dealing with clients.
2.7 Consultants shall reserve the right to register to provide services on the website and deregister anytime
2.8 Consultants will be expected not to waste the client’s time; they shall not dwell too much on greetings as time will be ticking and the clock will be visible once consultation starts
2.9 Consultants will be expected to always ensure that they have network coverage whenever they have a consultation and they must make sure they contact the client at least 5 minutes before consultation starts, in order to ensure that both parties are ready for the consultation.
2.10 Consultants are not allowed to initiate moving consultations from virtual to physical. However, they will be expected to pay a R100 (HUNDRED RAND) referral fee should a client initiate same.
2.11 Poaching of clients is strictly prohibited and consultants will be fined an amount of R500 (FIVE HUNDRED RAND) should they be found to be stealing clients from the platform.
2.12 Consultants will be expected to rate clients after each consultation
2.13 Some consultants will be working with the company but permanently employed elsewhere; it is their responsibility to update their schedule for the week with the company. They will however be charged an amount of R35 (THIRTY-FIVE RAND) should they wish the company to confirm their schedule or availability with their employer.
2.14 Consultants shall have the freedom and flexibility to use the platform at any time that will be convenient for them.
3. THE CONSULTATION
3.1 Consultations done through Open Air Hub will be virtual, there will be no physical consultations unless if we decide to expand in future and decide otherwise;
3.2 The length of the consultation will be determined by the client. Time slots will vary from 15 minutes up until any hours agreed upon between client and consultant, also depending on the availability of the expert;
3.3 All consultations will be recorded and recordings will be kept by the company for safety
3.4 Vulgar language, hate speech and any illegal act or conversations are prohibited during consultations 3.5 Both the consultant and client must be dressed appropriately during consultations. Nudity is prohibited
3.5 Should the footage of a consultation be required by either the Consultant or client: R100 (HUNDRED RAND) will have to be paid to the company in order for the footage to be released. Furthermore, payment of the above amount must be supported by a written request, where reasons for requesting the footage are stated.
3.6 There will be a clock during the consultation which will be ticking live in order to show the parties how much time they have left
3.7 The client can decide to hang up the call anytime they feel they have received the assistance they required. They will however have to state on record that they understand that if they hang up the call without using up all their time then they cannot later reuse the unused time; they forfeit whatever time is left on the consultation and cannot carry it over.
3.8 Only the client will be permitted to initiate that the consultation be moved from virtual to physical. A R100 (HUNDREND RAND) referral fee will be charged should there be a change in the mode of consultation.

5. THE PRO-CONVENIENCE FACTOR
The company will be run on a pro-convenience policy. All consultations and interactions will be limited to a virtual basis for this reason and in exceptional cases they will become physical if the balance of convenience favours that they be.
6. GENERAL RESTRICTIONS
The company will refer all its operations to its General Counsel for assessment of its legality and to be made aware of any legal limitations or restrictions. We will not engage in any corruption or any other form of breaking or miscarriage of the law.
7. POST-SALE INVOLVEMENT
We will take and pool reviews from consumers to ensure that we are positioned to advise experts on areas and ways to improve their services. We will also act as middlemen and first point of contact in case there are complaints, grievances or queries.
8. COMPETITION
We will operate within the limitations provided by competition laws in the Republic of South Africa.
9. TAXES
Most online businesses are a concern for governments in developing countries because of tax concerns. As a result, various laws in South Africa require an internet-based company to have physical premises in the country so that tax collection is more practical and applicable under law. We intend to comply with the law in this regard.
10. TRADEMARKS, PATENTS AND COPYRIGHTS
We will ensure that we do not infringe on anyone’s copyrights, patents or trademarks. We will also ensure that our clients keep by the same standard before we post anything on our platform.
11. AGE RESTRICTIONS
Under South African Law, people under the age of 18 may not be party to an online transaction unless they can prove consent from their legal guardians or provide evidence of legal emancipation.
12. BUSINESS INSURANCE
All service providers will provide us with proof of up-to-date insurance cover. We will also insure our premises and office equipment as required by law
13. INTERNET SECURITY
Through our website host, we will protect our users from data theft and invasion of privacy while using our platform.
14. CANCELLATION POLICY
1. Cancellation requested at least 2 houurs before the consutation time can be done with no penalty
2. Cancellation request done between one to two hours before the consutation time will be charged 50% penalty of the the session tokens.
3. Cancelletion done within an hour to the consultation time will be charged 80% penalty of the the session
NB: Penalty implies that the tokens are depicted from your available tokens.
15. REFUND POLICY
You may submit your refund request to refund@openairhub.co.za. The team will contact you withing 24 to assess the request and proceed with the refund.
Note: The tokens expire after one year from the date of purchase.
